Admin Assistant – Valbonne, France


Based in Valbonne, France

The purpose of the role is to assist staff with client-related administrative tasks and to fulfil receptionist duties to help ensure that the office runs in a professional and efficient manner.

Full time – 5 days per week – 35 hours

The Admin Assistant reports to the Head of Client Service.

The role is based permanently in the Sophia Antipolis office. It is an ideal entry into Financial Services or for those already in Financial Services who want to join a firm that can offer progression and variety. The successful candidate will be joining a very friendly and supportive team with lots of opportunity to learn.


  • Support the smooth running of the office and the Sales Team in the office as directed Daily checking and communication of answer machine messages
  • Meeting and greeting clients, answering phones, managing incoming enquiries
  • Preparation of meeting rooms for client meetings
  • Incoming and outgoing post support, international mail and arranging couriers
  • Scan & save all incoming documents appropriately.
  • Maintaining the presentation of the office
  • Managing and updating our database as required – includes scanning and sending of client documents.
  • Participate in seminars on the day & preparation when needed.
  • Awareness of regulatory / data protection requirements.
  • Diary management and direct support for the Partner and PCM in the Sophia Antipolis office.
  • Printing and collation of client reports and application packs
  • Liaising with servicing teams to provide ongoing support with case management
  • Ensuring that client facing Advisers and Client Services are well supported in their roles
  • Completing adhoc data management projects
  • Supporting the Regional and Central Admin team as required with preparing transactional paperwork


The minimum academic qualification required for this job is any one of the following.

  • Diploma from a recognised institution
  • Secondary education at A level with relevant work experience


The minimum academic qualification required for this job is any one of the following.

  • Outlook meeting management
  • Office administration and post management
  • A basic understanding of regulation such as DPA and GDPR

These skills and experience would be highly advantageous:

  • Xplan data system or other Financial Services data management software
  • A basic understanding of ISAs, GIAs, Pensions
  • Experience obtaining information from investment platforms such as Transact, 7IM, Fidelity and Quilters International
